From First Call to Full Finance Function
in Two Weeks
Outsourcing your accounting shouldn't feel like a leap of faith. Here is our exact process — every step, every deliverable, and exactly what we need from you — so you know what happens before you commit to anything.
Free Assessment Call
30 minutes, no obligation. We listen to how your finance function runs today — software, volumes, pain points, deadlines — and tell you honestly whether and how outsourcing would help. If we are not the right fit, we say so.
- Honest fit assessment
- Initial scope discussion
- Your questions answered by an accountant, not a salesperson
Fixed Proposal
You receive a written proposal: exact scope, named team structure, engagement model (hourly $15/hr, monthly $1,800/resource, or long-term contract) and a fixed fee. No ranges, no hourly surprises, valid for 60 days.
- Defined scope of work
- Fixed monthly or hourly pricing
- Proposed team and overlap hours
Structured Onboarding
A dedicated onboarding manager runs the handover: secure system access, workflow documentation, a review of your historical books with a cleanup plan if needed, portal setup and team introductions. Your day-to-day operations continue uninterrupted throughout.
- System access & security setup
- Documented workflows and SLAs
- Historical review + cleanup plan
- Client portal activated
Steady-State Delivery
Your team settles into the agreed rhythm: daily transaction processing, weekly reconciliations and check-ins, monthly close by the agreed working day with a full reporting pack. You watch everything live in the client portal.
- Daily/weekly processing on SLA
- Monthly close & reporting pack
- Weekly check-in call
- Live status in the client portal
Review & Improve
A quarterly business review looks at what could be better: automation opportunities, scope adjustments, upcoming deadlines (tax season, audits) and how your needs are evolving. Engagements should get more valuable over time — this is how.
- Quarterly business review
- Automation & efficiency proposals
- Scope and pricing adjustments as you grow
Everything We Need From You
This is the complete list. If it looks short, that's the point — the whole model is designed to take work off your plate, starting with the handover itself.
- Read access to your accounting software (we guide the setup)
- Bank feed access or statement delivery
- A contact for approvals and queries (typically 1–2 hours/week early on, less later)
- Historical records if cleanup is needed — whatever state they are in
Three Ways Clients Come to Us
From another provider
We manage the transition directly with your outgoing provider where possible — records handover, open-item lists and cutover timing — so you never chase two firms at once.
From an in-house team
We document institutional knowledge before any transition, run parallel for a period you choose, and can work alongside remaining staff — most hybrid setups keep a local approver and move production to us.
From doing it yourself
The most common start: books in a spreadsheet or behind by months. Our cleanup sprint rebuilds them properly, then the monthly rhythm keeps them that way.
About Getting Started
How much of my time does onboarding take? +
Typically 3–4 hours total across the first two weeks: one kickoff call, granting system access, and answering workflow questions. We deliberately front-load our effort, not yours.
Will there be any disruption to our operations? +
No. Invoices keep getting paid and payroll keeps running throughout onboarding — we take over workflows one at a time, each with a parallel check before cutover.
What if it isn’t working out? +
Hourly and monthly engagements are month-to-month with 30 days’ notice, and your data lives in your systems under your ownership — so leaving is as clean as joining. In practice, our retention speaks for itself.
When will we see the first results? +
Most clients see their first clean weekly reconciliation within the first two weeks and their first full monthly close-and-report pack at the first month-end after onboarding.
Step 1 costs nothing and commits you to nothing
A 30-minute call with an accountant who will tell you honestly whether outsourcing fits your situation. The worst case is free advice.
